Booking & reservations
How far in advance should I book event rentals?
For a peak-season Saturday between June and September, book six to twelve months out — especially for tents, farm tables and dance floors in Chelan, Leavenworth and the Cle Elum / Suncadia corridor. Off-season and midweek events can often be booked a few weeks out. If your date is close, call us; we frequently make short-notice orders work.
How do I reserve my rentals?
Build an event list on our site, send it over, and we return an itemized proposal. Once you approve the proposal and place the deposit, your inventory is held exclusively for your date.
Can I change my order after I book?
Yes. Counts move constantly as RSVPs come in. Adding items is easy up to availability. Reductions are accepted up to the cutoff listed on your contract — after that, the reserved inventory has already been pulled from other clients' availability.
What is your cancellation policy?
Deposits reserve your date and inventory and are non-refundable, but we work with clients on postponements whenever the calendar allows. Full terms are on your signed rental agreement.

Delivery, setup & pickup
What areas do you deliver to?
We deliver throughout Eastern Washington from our East Wenatchee warehouse: Wenatchee, East Wenatchee, Chelan, Manson, Leavenworth, Cashmere, Peshastin, Entiat, Quincy, Ephrata, Moses Lake, Ellensburg, Cle Elum, Roslyn, Suncadia, Yakima, the Methow Valley and the Tri-Cities. Farther sites are quoted case by case — we have installed well outside our normal radius.
How much is delivery?
Delivery is quoted per event based on mileage, site access, crew size and timing. Will-call pickup at our East Wenatchee warehouse is available for smaller items.
Do you set up the tables and chairs?
Tents, dance floors, staging, lighting and sound always include professional install and teardown. Tables, chairs, linens and tabletop items are delivered stacked and packed by default; add setup service to your quote and our crew will place everything to your floor plan.
When do you deliver and pick up?
Most weekend events receive delivery Thursday or Friday with pickup the following Monday. Tight venue windows, same-day installs and overnight strikes are all doable — tell us the venue's load-in rules and we'll build the schedule around them.
Do I need to be on site for delivery?
Someone should be available for tent, dance floor, staging and lighting installs so we can confirm placement. For drop-off items, a clearly marked location and access instructions are usually enough.

Tents, permits & site conditions
What size tent do I need?
As a rough guide: about 10 sq ft per guest for rows of ceremony seating, 12–15 sq ft per guest for round tables with chairs, and add space for the bar, buffet, dance floor, band and lounge. Use our tent layout planner to sketch it on your actual property, or send us the guest count and we'll size it for you.
Can you put a tent on gravel, pavement or a slope?
Yes. Grass sites are typically staked; gravel, asphalt and concrete are ballasted with weights. Slopes and uneven ground can often be handled with subfloor. We review the site before install so the anchoring plan matches the surface.
Do I need a permit for a tent?
It is your responsibility to secure the correct permits for your event. Some jurisdictions require a permit for larger tents, sidewalls or heaters — requirements differ by county and by venue. We will provide the tent specs, flame-certificate documentation and layout drawings needed for your application.
How much clearance does a staked tent need?
Plan for roughly five feet of clear space beyond the tent footprint for stakes and guy lines, plus clearance from fences, buildings, septic fields, irrigation lines and overhead power. We call 811 for public utility locates; it is the client's responsibility to mark all private lines before install day.

Weather, damage & care
What happens if the weather turns bad?
Our tents are engineered installs, not pop-ups, and they handle typical Eastern Washington wind and rain. In severe weather our crew makes the safety call with you — sidewalls, additional anchoring or evacuation of the structure. Rentals are not refundable due to weather, so build a rain plan early; adding sidewalls, heaters or flooring late is much harder than reserving them up front.
Do you offer heaters and fans?
Yes. Propane patio heaters and tent heaters for spring and fall, plus drum fans and misting fans for July and August. Anyone renting a tent between June and September should price out cooling in the same conversation.
What if something gets damaged or broken?
Normal wear is expected and covered. Items that are damaged beyond use, lost or returned unusable are billed at replacement cost. Your agreement lists the replacement values up front so there are no surprises.
Do dishes and linens need to be cleaned before return?
Scrape and rinse china, glassware and flatware and return them in the racks they arrived in — we handle the actual washing. Linens should be shaken out and returned dry in the bags provided; wet or mildewed linens can become a replacement charge. Linens ship folded and may need light steaming on site.

Do you work with my venue?
Almost certainly. We install regularly at Suncadia, Swiftwater Cellars, Beecher Hill House, Host Wenatchee, Cave B, Tsillan Cellars and dozens of private properties throughout the region — plus raw land with no infrastructure at all. See our venues directory for site-specific notes.
Do you handle corporate and large-scale events?
Yes. We have delivered brand activations, festival infrastructure and multi-thousand-guest corporate installs across the region, including work at Suncadia and Cave B. Corporate and festival work is quoted as a package with site visits, CAD layouts and a dedicated install crew.
Do you support wildfire and emergency response deployments?
Yes. We provide rapid-deployment base camp tents, climate control, flooring, lighting and feeding areas for fire camps, incident command posts and disaster response across Eastern Washington, at extended-term rates.

Monday through Thursday 9:00 AM to 5:00 PM, Friday 9:00 AM to 3:00 PM. Weekends our crews are in the field running events.
