How to Choose the Right Tent Size for Your Guest Count

White frame tent with string lighting set up for an outdoor reception in Eastern Washington

Tent size is the first domino. Get it right and the layout, lighting, heating and floor plan all fall into place. Get it wrong and you spend the last two weeks before the event solving problems that a scaled drawing would have caught.

Start with square feet per guest

Use these planning numbers as a starting point, then add space for everything that isn't a guest chair:

  • Seated at round tables: 12–15 sq ft per guest
  • Seated at long banquet tables: 10–12 sq ft per guest
  • Ceremony rows / theater seating: 6–8 sq ft per guest
  • Cocktail / standing reception: 6–8 sq ft per guest

Then add the things that aren't seating

Every one of these steals floor area. Add them before you pick a size:

  • Dance floor: 2–3 sq ft per guest (not everyone dances at once)
  • Bar: 100 sq ft per bar station plus queue space
  • Buffet line: 100–150 sq ft per line, accessible from both sides if possible
  • Band: 200–400 sq ft. DJ: 60–100 sq ft
  • Cake, gift, guestbook and head tables: 100+ sq ft combined

Eastern Washington specifics

Wind and heat matter here. If your site is exposed — vineyard slope at Chelan, open field near Moses Lake, ridge property in Cle Elum — size up slightly so sidewalls can go on without crowding the room, and plan power for fans or heaters.

Frequently asked questions

What size tent do I need for 100 guests?

For 100 seated at rounds with a dance floor and a bar, plan on roughly 1,800–2,400 sq ft — commonly a 40x60. Drop to a 30x60 if there's no dance floor inside the tent.

What size tent do I need for 150 guests?

Roughly 2,700–3,300 sq ft with dining, a dance floor and service space — often a 40x80. Send your layout and we'll model it exactly.
