The Wedding Rental Timeline: What to Book and When

Peak-season dates in Eastern Washington book out early. This is the timeline we wish every couple had in front of them the week they lock the venue.
12–9 months out
Reserve the structural pieces. These are the items that sell out and the ones everything else depends on:
- Tent size and layout
- Dance floor and flooring
- Staging if you have a band
- Tables and chairs in your preferred style
9–6 months out
Lock the look: linens, tabletop, lighting design, arches and marquee letters. Confirm power and generator needs with your venue.
3 months out
Walk the site with your rental team. Confirm access, ground type, install day and teardown window. Adjust quantities against your RSVP trend.
2–4 weeks out
Final headcount, final counts on chairs, linens and place settings, and a weather contingency decision: sidewalls, heaters or fans on standby.
Frequently asked questions
When is the final date to change my rental counts?
We work with most couples up to about two weeks out for count changes, and we handle additions closer than that whenever inventory allows.
Do you hold inventory without a deposit?
Inventory reserves when the order is signed and the deposit is in. Until then, dates stay open to anyone.
